Requisition # 2018-8648 Department PPPL Engineering and Infrastrc Category Administrative Support Full-Time / Part-Time Full-Time Application Deadline
The Administrative Assistant will report to the Engineering Department Head at Princeton Plasma Physics Laboratory. The position may also provide support to operational projects, and the Department Head work with senior management team and the administrative managers.
Perform all administrative duties
Provide administrative support for the whole department
Organize and coordinate Department software licenses
Webmaster for PPPL engineering internal web pages
Extensive meeting planning
Make travel plans for engineering personnel
Travel and expense reporting
Input travel information into the Foreign Travel Management System (FTMS)
Manage performance appraisal process for department
Manage professional subscriptions for department
Proactively monitor training compliance for department
Ensure timely completion of mandatory activities (e.g. Letters of Integrity)
Coordinate signature requests for Department Head
Deliver messages to and from Department Head
Coordinate readiness for new employees and contractors (desk, phone, computer… )
Coordinate asset collection and reassignment for leaving employees and contractors
Order and maintain office supplies and equipment
Safety, Security, and Environmental Protection: All activities, as they apply to work performed by self or by personnel under supervision, will be executed in compliance with Environment, Safety, Health and security responsibilities as established by Princeton Plasma Physics Laboratory's Environment Safety and Health policies, Safeguards and Security policies, work rules, and safe practices.
High school diploma and approximately five (5) years of executive administrative experience.
Prior experience working with senior level management.
Proficient in Microsoft office applications (Word, Excel, PowerPoint, Access, Adobe Pro), email, database use, and modification of web pages.
Experience with Microsoft and Apple operating systems.
Must have high level of interpersonal skills to handle sensitive and confidential situations and exercise prudent judgment. Position continually requires demonstrated poise, tact and diplomacy and the ability to understand and apply institutional policies and procedures.
Must be able to interact and communicate with a diverse PPPL community, Government and University officials.
Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.
Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.
Must be a US Citizen.
