General Purpose of Job: This position provides administrative and clerical support for the Technical Services metering business unit. The responsibilities for this position include but are not limited to Metering/load management service order creation, record keeping, budgetary tracking, data input, maintain bulletin boards, procurement of tools/supplies, safety job aid creation, active participation in SECO Energy's safety culture, spreadsheet creation/maintenance, specialty materials inventory documentation, and maintaining filing system. Education and Experience Required: • High school diploma or equivalent. • Three years related experience in a customer service environment. Preferred: • Experience with an electric utility or related industry. • Continued education and/or Certificate in Business Writing. Knowledge, Skills, and Abilities • Extensive knowledge in Microsoft Word, Excel, PowerPoint, Outlook, and Publisher. • Proficiency in the operation of personal computers and MS Office products with emphasis on Word, Excel, Outlook, Publisher and Power Point. • Demonstrated mathematical skills with the ability to perform mathematical computations such as percentages, fractions, addition, subtraction, multiplication and division quickly and accurately. • Ability to acquire knowledge and use of applicable corporate operating systems such as PowerBase, Kronos and iVue. • Ability to learn and understand load management and metering processes and procedures. Create and track service orders, research customer records and acquire knowledge of the Cooperative service territory. • Effective communication skills including listening, verbal and written; ability to accurately prepare all types of business correspondence, design and produce reports and prepare presentations; effective planning and organizational skills with excellent documentation and detail orientation; ability to complete assignments, meet deadlines and work independently and in a team environment. • Excellent customer service orientation and interpersonal skills for effective interaction with managers, employees, contractors, vendors, government agencies and the public; ability to exercise good judgment, sound reasoning skills and discretion in making independent decisions commensurate with responsibilities. • Ability to maintain confidential information, and effectively manage stress and pressure in a frequently changing environment; ability to perform multiple tasks and priorities calmly and effectively in all situations. • English is the primary business language. Second language in Spanish is desirable. The listing of essential duties and responsibilities shall not be held to exclude other duties that may be assigned based on the needs of the Cooperative. • Organize and maintain files for business unit management and department personnel as directed. o Complete filing in a timely and accurate manner. o Prepare correspondence for the Manager and designated department management personnel, as directed. o Sort and distribute incoming mail; process Accounts Payable invoices, etc. • Verify and process contractor invoices; enter into the database; acquire the appropriate approvals and forward to accounting for payment. • Enter/update customer records as completed. • Answer and screen incoming calls. Respond to inquiries, resolve disputes, gather information and/or transfer calls to the appropriate person or area. • Maintain bulletin boards and specialty materials inventory documentation. • Maintain adequate supply of office supplies for the department; monitor and maintain office equipment, i.e. copy machine, fax machine, etc. • Enter and update service orders; return incorrect work/service orders for adjustments; file completed administrative material. • Track productivity and released service order statistics; ensure that all service orders are closed and adjustments are completed timely. • Compile and generate statistical reports as directed. • Assist in the creation of Safety Job Aids as required • Serve as back-up in the absence of the Technical Services Administrative Assistant, Substation Technical Services Specialist and/or System Reliability Technical Services Specialist. Travel between offices may be required. • Irregular hours in evenings and on weekends are possible during peak business times and during storm season. • Ability to work irregular hours and flexibility to change scheduling and report to work on short notice during emergency situations. • Ability to operate a variety of office equipment, including a personal computer, printers, copy machines, telephone, and fax machine. While performing the duties of this job, the employee is regularly required to sit and talk or hear. The employee is occasionally required to walk; stand; use hands to finger, handle, or feel; reach with hands and arms; climb or balance; stoop, kneel, crouch, or crawl. This position has general sedentary office environment. Travel between offices may be required. The noise level in the work environment is usually moderate.
