Purpose of Position:
The Director is responsible for the successful administration of VCU’s University Student Commons and Activities (USC&A) department. The position plans, coordinates, and administers business, fiscal, personnel, and facilities, and student development activities that impact faculty, staff, and students. The Director provides innovative leadership, effective management, and efficient operations of the department. The Director develops and manages the departmental budget of over $5.7 million and provides overall operational planning and facilities management of three major facilities. The Director supervises Central Office staff and oversees the selection, training, supervision, evaluation, recognition/appreciation, and management of the department’s staff. Other duties include, but are not limited to, capital project development, event planning, student organization advocacy, fraternity and sorority life, information centers, student governance, educational programming, and promotions. The Director reports directly to the Associate Vice Provost and Dean of Student Affairs and serves as a key member of the Division’s Administrative Team.
The responsibilities of the Director are categorized below:
A. Human Resources: The Director directly supervises the following positions: Associate Director, Assistant Directors, and an Office Manager. Provides oversight for all personnel issues including determination of personnel needs, staffing, and delegation of authority to supervisors and assignment of tasks to individual staff members.
B. Fiscal Operations: The Director oversees long-range fiscal planning, projection of revenue and expenditure needs and will make recommendations for changes in fee levels. The Director also administers operations, capital projects, maintenance reserves, debt service, fund balance, and student organization finances and accounts.
C. Space Planning: The Director will oversee all short-term and long-range space planning, determine space requirements, coordinate activities with Facilities Management, architectural consultants, and construction contractors and determine fiscal requirements for renovations and new building projects. The Director will assist in every step of these processes and will serve as coordinator and communicator of needs to all consultants.
D. Public Relations: The Director is the principal spokesperson for the department and is responsible for building and maintaining a positive public image within the University, student body and in the community. Complaints from students or parents will be directed initially to the Director.
E. Liaison Officer: The Director is a primary liaison officer with the Division of Student Affairs and will be a member of the Administrative Team. The Director maintains good communication with other Student Affairs units to ensure cooperative relationships. The Director will also establish cooperative relationships with other University departments, student groups, and will represent USC&A in local, state and national professional organizations.
F. Administrative: The Director is responsible for compilation of the Annual Report in a timely fashion after the end of the fiscal year and is responsible for all aspects of data analysis. The Director is responsible for communication of policies to staff members and will conduct weekly staff meetings.
G. Housekeeping and Maintenance: The Director manages these components to ensure that the facilities are clean and presentable at all times.
H. Student Organizations: The Director oversees the registration process and all policies related to over 500 student organizations, including fraternity and sorority life.
I. Other Duties as assigned: The Director will perform other duties as assigned by the University.
Master’s degree in higher education administration, counseling, or related areas.Five to ten years of progressive administrative management and supervisory experience.
Demonstrated capacity to lead, mentor, support, and develop a staff team.
Knowledge base entailing student development, student commons/unions best practices, assessment of student learning outcomes, strategic planning.
Demonstrated ability to work effectively with diverse constituent groups.
Demonstrated ability to be a visionary change agent for University Student Commons & Activities.
Demonstrated administrative expertise in strategic planning, program evaluation, staff development and budgeting.
Ability to function independently and as a member of a division leadership team in a fast paced, changing environment.
Demonstrated commitment to student success.
Active participation in professional organizations and a commitment to professional development.
Excellent written and oral communication skills.
Excellent interpersonal and public relations skills.
Experience and skills in operating computers and related database, spreadsheet and word processing applications.
Demonstrated administrative skills and experience in: organizational skills with detailed and complex information and systems; planning, implementing and evaluating programs; budget development and fiscal/statistical management; organizational goals development and reporting.
Experience in a university/college setting.
Experience utilizing assessment instruments to inform decision making.
Demonstrated experience working in and fostering a diverse faculty, staff and student environment or commitment to do so as a faculty member at VCU.
