The Naval Reserve Officers Training Corps (NROTC) at the University of Washington is a program designed to educate and train young men and women for service as commissioned naval officers. Students in the NROTC program earn a bachelor's degree while preparing to assume leadership and management positions in the Navy and Marine Corps.
We have an outstanding opportunity for a Program Coordinator to provide administrative office support to advance the mission and goals of NROTC.
Provide administrative support to department head and support to department program operations. Answer telephones and respond to emails; receive and refer visitors; resolve problems and respond to inquiries regarding departmental procedures and services;
Maintain supervisor's calendar and make appointments; schedule and arrange meetings; make room reservations; provide information related to supervisor's planning, organizing and operation of the department;
Make travel arrangements for the department and maintain records of travel itineraries; compile final travel expense report;
Provide support related to classroom scheduling, student scholarship roster and liaise with the appropriate University of Washington administrative and service offices to facilitate the department's activities;
Under the guidance of the Executive Office F&A team, use the appropriate University system to process department purchase requisitions and invoices charged to UW budgets; and ensure accurate fiscal processing and initiate corrective fiscal action as required. Serve as primary contact for vendors and contractors. Order supplies, equipment, printing, and arrange for maintenance services;
Review and reconcile monthly and yearly university budget accounts;
Maintain and monitor UW NROTC budget/fiscal records of department accounts, including the state budget, non-matriculating student fee budget, and gift accounts;
Liaise with Vice Provost for Academic Personnel Office and the Executive Office's Finance & Administration team to ensure proper handling of administrative, financial, personnel and operational matters;
Work with Executive Office's Finance & Administration team to coordinate hiring of NROTC tutor; coordinate and approve tutor's work schedule and hours;
Maintain records of incoming and outgoing correspondence and action documents and follow up on work in process; establish or revise electronic or manual files; use spreadsheet and data base software to develop and maintain records;
Liaise with Blue and Gold Foundation, to include tracking approved expenses, facilitating execution of annual board meeting, and submitting minutes to the Finance & Administration team;
Maintain and update ROTC alumni and donor contact information database; print gift activity reports, and draft thank you letters and related correspondence for department head's signature;
Assist in planning and executing department events, to include securing venues, obtaining University approval, and creating event registration pages through Cvent;
Perform the duties of Program Assistant; and perform related duties as required.
High school graduation or equivalent and two years of increasingly responsible office experience OR equivalent education/experience.
