Presenting more than 100 performances annually, Stanford Live is the performing arts presenter at Stanford University and manager of Bing Concert Hall. Scheduled to reopen in 2019, Frost Amphitheater will also become part of the Stanford Live portfolio of venues, bringing a whole new scale of performance to the Stanford Campus.
Currently undergoing a renovation, Frost will be a large capacity outdoor venue located next to Bing Concert Hall in Stanford's arts district. Frost will annually present concerts between May and October. Users of the facility will include a summer season with a major classical partner, a major commercial promoter, University presentations and events as well as the occasional Stanford Live performance totaling approximately 30+ events during its season. The business relationship will vary between each user of the venue. Stanford Live is currently in the process of defining these relationships and it will be the responsibility of the Director of Operations to manage these contracts and affiliations whilst first and foremost protecting the Stanford brand regardless of venue occupant.
Reporting to the Stanford Live Executive Director, the new position Director of Operations is a senior member of the Stanford Live team. This position oversees the physical plant of Frost including; all users of the facility; venue business and financial management; master calendar; event coordination; food and beverage; parking and transportation; security and public safety; front of house; custodial and grounds maintenance; ticketing and information technology. This position works closely with the Stanford Live Director of Production. The Director of Operations is a key figure in the relationship with major external users of the Amphitheater and is the responsible liaison to all Promoters and Partners. As a unique facility with a national profile, Stanford Live, Bing Concert Hall and Frost Amphitheater are industry leaders. The Director of Operations primary focus is to protect the Stanford brand as well as manage, plan, organize, schedule, and supervise resources and activities required to meet project deliverable within goal-oriented timeframes and budget parameters. The Director of Operations directly interfaces with clients, contractors, and concert venue professionals and works closely with multiple management teams to resolve issues ensuring a high functioning, preeminent concert venue in excellent operating condition.
Core Duties:
Venue Relationships and Facilities Management
Oversees and maintains core team relationships under the direction of the Executive Director and General Manager, with all stakeholders, vendors and users of Frost to ensure highest level of service.
Serves as the senior staff liaison to all Promoters, Partners and third-party Vendors representing Stanford Live and the Executive Director. Liaise with all Frost internal and external partners including Presenters, Promoters and their support vendors.
Oversees contract administration and fulfillment with all contracting parties. Develops and maintains Frost performance schedule.
Oversees all guest services including; venue security, front of house, information, concessions and merchandise sales. Responsible for facilities oversight including but not limited to restroom maintenance; refuse management; venue lighting and pathway, entrance/egress safety; concessions/merchandise locations; security positions at entry gates and medical support locations.
Works with Stanford Parking & Transportation to manage traffic/parking; external and internal traffic control; paid parking; ride share, bikes and AAD requirements.
Supervision and Relationships
Responsible for onboarding and training of one direct report. The DOO will be responsible for defining, hiring, onboarding and training new staff.
Ensures that details related to each event are thoroughly planned and executed by subordinates.
Maintains regular communication, relationship management and quality control inspection of all contracts and partnerships ensuring that the best possible service and products are offered in Frost and that such service is of equal stature as the venue itself.
Schedule and Budget Management
Responsible for the management of all activity of schedule. Oversight over facility use from micro and macro perspectives is critical in managing the venue as well as ensuring mission, vision and values of Live, Stanford University and all stakeholders for the larger organizations are honored is the most careful of terms.
Oversees health and safety, maintenance and procurement of all items necessary for the facility including special, theatrical equipment in support of production. Functions as the senior authority with reference to the technical equipment.
Plan and oversee all financial aspects of Operations ensuring that the Executive Director and General Manager are fully informed on a monthly basis through written and oral reports of the overall financial position of core departments and any significant changes in this.
ADDITIONAL KEY FUNCTIONS:
Investigates, analyzes and resolves operational problems and complaints. Conducts periodic staff meetings to discuss procedures, problems and policy changes.
Works closely with the General Manager in the preparation and negotiation of Service Agreements. Reviews contracts for compliance with events and /or government specifications and suitability for occupancy. Negotiates with vendors, unions, contractors and/or service providers.
Coordinates and oversees any special projects, such as construction, remodeling or expansion. Plans and directs outside vendors/contractors work to assure compliance with contracts and safety requirements.
Maintains inventories of equipment, while keeping in mind current technology and trends, to maximize customer satisfaction and revenue opportunities for current and future users of the facility.
Works directly with high profile and high revenue groups to determine their objectives and requirements while ensuring an excellent customer experience for all customers maintaining the Stanford brand.
Serves as Manager on Duty for the entire Frost season.
MINIMUM REQUIREMENTS: Education & Experience: Bachelor's degree, or combination of technical education, training, and experience. Two or more years of experience managing facilities operations and maintenance staff in an environment with a variety of building types.
Knowledge, Skills and Abilities:
Demonstrated experience managing service contracts.
Demonstrated experience developing and managing budgets.
Demonstrated experience planning, developing, and implementing programs.
Ability to interpret planning specifications, documents, working drawings, and related reports.
Maintain an effective working relationship with employees, partners and vendors.

WORKING CONDITIONS:
Requires ability to work flexible and extended hours, including nights, weekends, and holidays, in addition to normal business hours.
While performing the duties of this job, the employee is required to walk extensively, occasionally required to kneel, climb to high walkways or balance. The employee must occasionally lift and/or move up to 50 pounds.
This position requires work inside and outside of the building and some exposure to adverse conditions.
Requires 24-hour response availability seven days per week for emergency situations.
May be exposed to noise > 80dB TWA.
