Title: Director of Finance and Operations Reports to: Head of School Department: Administrative Status: 12-month, exempt position Hours: School year hours: Monday – Friday, 7:40 am – 4:00 pm Purpose of Position: The Director of Finance and Operations provides management and oversight for the following Business Office functions: budgeting, financial reporting and banking, human resources, payroll, food service, facilities, purchasing, receivables, payables, cash management, school store, and financial aid. The position reports directly to the Head of School and works closely with the Finance, Investment and the Building and Grounds committees of our Board of Trustees. Maintains professional relationships with the school’s banks, lawyers, auditors, insurance and benefit brokers, government regulators, architects, contractors and vendors. Relationships: This position will work closely with the administrative team, faculty, parents and students to accomplish the essential duties and responsibilities noted below. Essential Duties and Responsibilities: - Performs planning, organization and management of the Business Office including bank reconciliations, cash management, accounts payable, account receivable, purchasing, budgeting, financial reporting, human resources, payroll, food services, facilities and grounds.
- Establishes policies, procedures, standards and strategies for areas of responsibility and provides adequate internal control capabilities and strengths to safeguard the school assets.
- Prepares and monitors a 4 million annual budget.
- Manages and supervises the school store and facilities.
- Secures adequate systems and establishes procedures to meet the information needs of the school and its administration.
- Performs and coordinates human resources including employee relations, benefits and compensation and payroll and 401K administration.
- Maintains compliance with governmental regulations and changing regulatory environment by staying current on law and regulations that may affect compliance with support from benefits broker and human resource consultant.
- Manages and supervises the Business Office staff which is responsible for purchasing and all accounting related functions (e.g., accounts payable, accounts receivable, school store).
- Manages financial aid process, including preparation of materials, a compilation of data for financial aid committee, record keeping, notification and follow up.
- Administers and maintains all property, casualty and liability insurance for the school.
- Oversees all facilities management, which includes all building repairs, construction, security and janitorial.
- Oversees preparation for and compliance with governmental and insurance inspections (e.g., fire alarm system including extinguishers, sprinkler and hydrants, workers compensation site reviews and audits, department of labor audits).
